Platform Features

Datasheet User Interface Changes

The datasheet control to display child items in many applications has been updated to provide a better and more concise experience.  The datasheet now more resembles a “spreadsheet” like interface. 


Multiple User Profiles

Kahua has introduced functionality supporting multiple user profiles.  Profiles allow a user to represent multiple business organizations, whether it is a joint venture and/or subsidiary, all from one login.  Profiles will appear in the Kahua Community as unique identities, independent of the existing account the profile is mapped to.  Profiles may also have different permissions based upon any Groups that the profile contact record is or is not a member of.  It is possible to restrict project and app access for one profile while providing access to the user’s other profile(s).  Licenses for existing users also apply to all profiles; additional license purchases are not required.

Setting up additional profiles is an administrative feature only.  Follow the steps below to add a new profile for an existing user on your domain.

1.       Create the Subsidiary/JV company on the Companies tab of the Contacts app, including all office locations.  Only perform this step if the company does not already exist.  For JV projects that will be using a separate domain, please contact Kahua Support for assistance in setting up cross-domain profiles.

2.       Add the new Subsidiary/JV company under the Admin>Company Profiles app.  Only perform this step if the company is not already a domain company.

3.       On the People tab of the Contacts app, create a new person record for the Subsidiary/JV company.  The new person must also have an email address; the email address can be the same or different as the user you are creating a profile for.  Do not use an email address already associated with a different user, such as a general mailbox or project specific email address.

4.       In Admin>Users app, select New and add the new person from Step 3 in the “Invite” tagbox.

5.       Select “Yes” to add an additional profile.

6.       Select the existing user you are creating the profile for in the “Existing User” tagbox and send the invitation.

Steps 4-6

 

After the invitation has been sent, one of two things will occur.  These are actions the end user must take; no further administrative action is required:

-If the profile has the same email address as the existing user, the user will receive a Task to accept the profile. 

-If the profile has a separate email address, an email will be sent to the profile email address to verify it is valid. 

 

Once the Task has been accepted or the email address has been verified, on their next login, the user will have a “Switch Profiles” section available.  To change profiles, simply click on the company name of the additional profile.

 

 

 

Note that the user should make sure all work is saved prior to changing profiles.  When within an app and using the Send action, Messages will be sent from the active profile.  However, all Messages (including inbound emails to inbox@kahua.com) and Tasks sent to any profile will always be available; users will not need to switch profiles to access them.

Funding Pay Applications and Expense Pay Requests in the Cost Management Suite
The Funding Pay Application and Expense Pay Requests applications have been updated to permit including Change Orders on the Schedule of Values.  When creating Pay Applications/Requests, users can optionally select Approved Change Orders to include on all new Pay Apps/Requests moving forward.  Additionally, amounts will not be displayed in the Payables and Receivables section in the Work Breakdown app.

This app was designed to proactively manage utility shutdowns or outages to minimize operational impacts. All utility or building system shutdowns or outages are either planned, or an emergency. Utility shutdowns are required for the purposes of construction, renovation, isolation, maintenance, replacement, or repairs to existing systems, subsystems.

Utility Shutdown provides a leading edge mobile approach to the "Request and Authorization" process. The app simplifies the preparation of a request for authorization of a shut down. The app leverages Kahua workflow to accelerate the communication, site assessment, authorization and notification process. The design incorporates DocuSign to capture signatures of all involved.


The app contains features that standardize the process of recording, time stamping and documenting all details:

·           Requestor

·           Dates

·           Time required to complete

·           Location, type of work

·           Site inspection notes

·           Photos

·           Assessment of necessity

·           Authorizations

·           Time of service restoration

·           Surveys after restoration in the affected buildings/areas to ensure systems are operational and equipment is set in the normal operating position


The app workflow makes it easy to communicate with others (responsible parties for campus, facility, project or area are preloaded) for appropriate action (i.e., inspection, authorization, notification). In seconds, the right person has received the request and can evaluate the situation by reviewing the photo images and the request form, approve or reject and upon selecting "Submit" the request moves to the next person in the step chain.

This app was designed for use by Owners, Construction Managers, GCs and Subcontractors to manage the risk of Hot Work. Hot Work operations include tasks such as welding, brazing, torch cutting, grinding, and torch soldering. These operations create heat, sparks and hot slag that have the potential to ignite flammable and combustible materials in the area surrounding hot work activities.

OSHA 1910.252 requires the authorization or "Permitting" for Hot Work and other high-risk work. The permitting process is designed to reduce the risk of fires and injuries through the elements of:

·               Control

·               Advance notice request and planning

·               Work assessment and review of alternative approaches

·               Communication with others

·               Coordination with others

·               Clearing work area of combustibles

·               Identification of appropriate emergency resources to be on hand during hot work (i.e., fire watch, extinguishers)

·               Authorization/Approval by site managers

·               Notification of others that may be at risk

·               Planned Fire System Disarm and reactivate times

·               Actual Fire System Disarm and reactivate times

·               Notes on steps that worked well and those that need improvement
