April 2025 Release Notes

The Kahua 2025.2 release will be deployed to our Production environments on April 12, 2025. A preview of this functionality can be accessed at https://earlyaccesslaunch.kahua.com beginning on March 29, 2025. Please click here for more information on the Early Access program.


The release notes below are subject to change. For any changes to these notes, please see the change log at the bottom of the article.


In addition to various bug fixes, performance improvements, and minor UI updates, this release includes the updates described below in the following functional areas:

General


Kahua UI Updates and Enhanced Visibility for Primary Buttons

Kahua is releasing several new UI updates to our log and detail view action bars and application group and list navigation.

The updates include the following improvements: 


Log View Action Bar Updates and App Group / List Navigation

We have updated the styling of the actions and list/app group navigation in our log view header. All buttons have been updated to match the new style.  



Navigation between sub-applications and lists has been combined into the same menu. You can navigate between different applications in an app group and also through different lists within an individual app.  



The application menu from the launch bar has been updated so that sub-applications within an app group (e.g., Official RFIs and Subcontractor RFIs within the RFIs app, or Contracts, Change Requests, Change Orders, etc. within the Expenses app) are more visible and accessible.  


In the launch bar's expanded state, click on the expand icon  next to the app group name in the launch bar to show the available sub-applications.  In the launch bar's collapsed state, click on the app icon to show the available sub-applications.





Detail View Action Bar Updates

The View History button has been updated to a simple icon.



Actions for sharing a record such as Get Link and Send have been combined into an icon with a sub-menu.


Asset tags, Location tags, and CUI Information UI update

We have updated the UI for Asset tags, Location tags, and CUI information.  These elements are now contained in a bar under the title of the record.




Workflow Buttons Updates

Workflow buttons will now appear at the top of records rather than at the bottom and are newly styled to be in line with Kahua's new UI direction. App developers can assign primary workflow buttons with a solid blue styling to highlight the primary action available to users, while other actions appear as white buttons with blue outlines. Non-workflow actions such as Process and View will appear to the right without an outline. This visual differentiation ensures improved visibility and helps users quickly identify and access the most important actions.  


 

Note:  We are temporarily allowing users to keep their workflow actions in their current location at the bottom of a record for this release.  To keep workflow actions in their current location, enable the Display Workflow Buttons at Bottom setting on the My Settings > General tab. If this setting is selected, workflow actions appear with the updated styling, but at the bottom of the record as they did previously.


This setting will be available for this release only, allowing you and your users a period of time to adjust to the change. Once the 2025.3 June release occurs, the workflow action buttons will appear at the top of records for all users and this setting will be removed.





Added the ability to access tasks when offline

Kahua has added general support to working on Tasks while in offline mode. With this functionality, users will be able to take action on tasks offline. In order to do this, users must enable offline, then enable offline for the tasks app. After offline is enabled and the records sync, users can terminate their internet connection and work offline. While offline, any changes made to tasks, i.e. approving a task, delegating, etc. will sync with Kahua once user re-establishes internet connection.   


Note: Only Hub app tasks will be supported for offline. Tasks from legacy apps will appear as disabled while user is offline and are not supported for offline updates.


Media Manager - Updated the "Uploaded" and "Taken" fields and improved log view options

We have made improvements to the way the Uploaded and Taken data fields are stored for files in Media Manager and also added to and improved the existing log views.


Previously the Taken and Uploaded fields were stored as text strings which resulted in sorting errors. These fields are now stored as date/time values. Log views based on these fields now group and sort files correctly.


We have also added the ability to group, sort, and filter log views by the Taken date/time field.


The new By Taken log view sorts media by the date taken. This sorting filter is only applicable for photos and media files with a value for date and time taken.


The new By Uploaded log view sorts media by the date and time the files were uploaded to Kahua.



The By Source log view sorts media by the app it was uploaded into, i.e. a media file uploaded in the media section of daily reports, or a media file uploaded directly into media manager. The source groups (the apps the files are uploaded into) are sorted alphabetically, and within the source group, the media files are sorted chronologically by uploaded date and time (i.e., a media file uploaded 3/1/25 in daily reports appears before a media file uploaded 1/1/25 and media files uploaded to daily reports will by default appear before files uploaded in field observations).



Docusign Integration upgrade

Kahua has upgraded our Docusign integration to use the latest and greatest methods and procedures. These changes will be transparent to end-users and will have no effect on your day-to-day operations. 


As part of this update, when you first initiate the Docusign integration, you will be required to re-consent for Kahua to send DocuSign signature requests on your behalf. You will receive a Kahua message with a link to log in to Docusign and grant consent. This is a one-time process. 


Note: If the login prompt does not appear when you click the link, you can open a browser window in incognito/private mode to force the login prompt.


Multifactor Authentication usability enhancements

The cursor on all MFA code entry screens now defaults to the text box. This change removes the need for manual selection, streamlining the process and improving efficiency.


Text updates have been made to improve clarity in various areas. The wording in the Time-based One-Time Password (TOTP) enrollment email has been revised to better communicate its purpose. Adjustments have also been made to the text on the initial TOTP enrollment screen in the Kahua Platform, ensuring it is clearer for users.


For email-based MFA codes, the domain name of the user’s target domain has been included. This addition helps to minimize confusion when navigating between multiple domains within Kahua.


CUI Support Added to Additional Apps

The acronym CUI refers to Controlled Unclassified Information. Kahua offers CUI support in many apps that can be used to identify records that will require sensitive handling by users in your domain and records that will be redacted for users who have not been granted permission to view the data. We have added CUI support to the following apps:

  • Change Order Request (Sub App)
  • Daily Reports (Sub Extension)
  • Daily Work Reports (Sub App)
  • General Invoices
  • Meeting Minutes (Sub Extension)
  • Misc. Expenses (Sub App)
  • My RFIs (Sub App)
  • Safety Suite
  • Submittal Items (Sub Extension)
  • Submittal Packages (Sub Extension)



Administration


Added support for multiple authentication types

Administrators can now individually enable or disable multiple authentication methods (such as email-based codes or Authenticator apps) using new toggle controls. Previously, administrators were limited to selecting only one authentication method at a time. 


When multiple methods are enabled, users can choose their preferred authentication option each time they log in to Kahua, providing greater flexibility and convenience.



Migrate SSO Configuration Settings to Authentication Groups

The SSO configuration settings within Domain Authentication have been updated and relocated. SSO configuration is now managed through Authentication Groups. Authentication groups are accessed by selecting Apps > Domain Settings > Authentication > Manage Authentication Groups


Existing SSO configurations will be migrated to an authentication group with no impact to end users.  Additionally, if a Domain User Authentication group has not yet been selected, the authentication group for the current SSO configuration will automatically be enabled by default.



Allow multiple delegations in the Project Tasks app

The Project Tasks app has been updated to allow multiple delegations for a task. Previously, a task could only be delegated one time. 


To delegate a task from one user to another, open the Project Tasks app, select the task, and click Delegate in the detail pane view. Select the user to delegate the task to. Optionally notify the originator of the task and include a brief message to the originator.



Added the ability to sort by the "Last Active" column in the log view of the Users app

The Last Active column in the Users app can now be sorted in either ascending or descending order.


The sorting order for the Last Active column follows a hierarchical structure, prioritizing year, followed by month, day, and then time.




Reporting


Added Quick Filter Support for Log View Reports

For Kahua apps which have quick filters configured for the log view, applying a quick filter and selecting the Open in Reporting icon  will generate a log view report which respects the quick filter.


Portable Views - Added Support for Media in Table Tokens

We have added support for Media within table tokens. This provides the ability to include Media that is associated with child items on a portable view.  To include the Media images, add the Media token to the desired location within the Items table.  The table formatting may need to be adjusted for optimal results.

NOTE: This new functionality, combined with fixing a margin-related bug with Media files on MS Word Portable Views, helps improve the presentation of media in print-ready PDFs in Kahua. 



File Manager


Added the ability to include reference files when downloading files from controlled folders

When using a controlled folder, you will now have the ability to download any attached reference files, as well as secondary files, that are associated with the primary file being downloaded.


The option to download secondary files is already available. The reference file option has now been added to the existing dialog.


When downloading a primary file, if secondary and/or reference files are associated with it, users will have the option to include these files in the download process.



If users choose to download the secondary and/or reference files, a ZIP file will be generated, with the secondary and reference files organized into designated folders.  This prompt is available whether downloading a single or multiple files.



Markups - Added Additional Colors to the Color Palette

New colors have been added to the markup color palette. These colors are available in the Text, Fill, and Line color selectors. These colors are also available when assigning markup colors to companies or contacts in Configuration.  




Document Management


RFI Forms - Consistency and Ease-of-Use Improvements

Kahua's RFIs workflow forms have been updated to deliver a more seamless and efficient user experience for all participants.


Highlights of the Updates:

 

  • Streamlined Layout: Improved form organization reduces scrolling and enhances usability, making it easier for responsible parties to access necessary information and complete data entry fields.
  • Enhanced Consistency: Key sections such as Comments and Pins are now standardized across all workflow forms. 
  • Workbench-Like Task Recipient Area: The Primary Response and Secondary Response sections have been updated to create a dedicated workspace for task recipients, featuring:        
    • Recipient’s name  
    • Special instructions  
    • Task due date  
    • Response entry
  • Quick Access to Critical Information:References and Media sections have been moved higher in the form to be more accessible, and a new Question section has been added at the top of the form to make the question stand out from all of the RFI's metadata.         

These updates are designed to enhance efficiency, reduce friction, and provide a more intuitive workflow experience.


Added additional countries and territories for weather tracking

Additional countries territories are now supported in the Weather tab in the Configuration app. Users now have the ability to pull in weather information into Daily Reports from Puerto Rico, American Samoa, Guam, Mexico, Northern Mariana Islands, and US Virgin Islands. The full list of supported countries and territories are:

  • American Samoa

  • Canada

  • Guam

  • Mexico

  • Northern Mariana Islands

  • Poland

  • Puerto Rico

  • United Kingdom

  • United States

  • US Virgin Islands



Cost Management


This update applies to Kahua for Owner, Education, General Contractor and Subcontractors using the Kahua supplied Funding Contract, Funding Change Order, Funding SOV and Funding Pay Apps applications.


Associated Contract Lines, as described in the link below for Expense Contracts, will be available on Funding Contracts starting in 2025.2.  For more information on Associated Contract Lines, refer to Associated Contract Lines (ACL).


This update applies to Kahua for Owner, Education, General Contractor and Subcontractors using the Kahua supplied Funding and Expense Change Order, SOV, Pay Request/Pay App, PO Change Order, Invoices and Issues Items applications.


When the parent document reference is included in a log view, the related parent document will appear as a clickable link. 


NOTE: Clicking the link to open the document may open a different application than the one you were originally in.


Change Order Log - Clickable Reference to Contract


Separate Out Taxes on Portable Views for Expense Contracts, Change Orders and Change Requests

This update applies to Kahua for Owner, Education, General Contractor and Subcontractors using the Kahua supplied Expense Contracts, Change Orders and Change Requests. 


As was previously available for Purchase Orders, Contracts and related documents can now separate out the tax amounts on Portable Views.




Assets


Systems Import - Added the ability to add a system to a system and assign a location through an import

We have updated the Systems import to include the ability to add one system to another system and the ability to assign locations to systems. Similar functionality already exists within the user interface, but it is not available when creating or updating multiple systems at a time.

 

Users have the ability to add a system to another system via the import. Additionally, users are able to assign locations to systems with an import. Similar functionality already exists within the User Interface, but it is not available when creating or updating multiple systems at a time.

 

To support this new functionality, two new columns have been added to the Import/Export template:

  • LocationPath - A pipe-delimited list of the full location path(s) tied to the location. These can be found in the newly added Locations tab of the export.
  • SystemNames - A pipe-delimited list of the SystemNames that the System being created/updated references.

 

Systems being updated via the import must include the Id in the import. If the Id is left blank, a new system will be created. The systems being referenced must be present in the import file.


The Instructions section of the export file has been updated to reflect the new information available: 

The System sheet is used to add or update Systems in Kahua during import. To add multiple assets to a system list out each Asset ID in the AssetIds cell, in a pipe-delimited format. To add multiple systems to a system, list out each System Name in the SystemNames cell, in a pipe-delimited format. Related assets and systems can only be added via the import. The import cannot be used to remove them from existing Systems. Systems are added to Kahua if the Id cell is empty. If a duplicate SystemNames are found, all of the Systems with that SystemName will be referenced in the created/updated System.

 

Notes

  • If there are duplicate System Names, users will NOT be able to reference those systems via the import.

  • Systems and Assets can only be added to Systems via the Import, not removed.

 

In Controlled Folders, added the ability to tag an asset to files in "Released" status

A new configuration setting has been added to File Manager that, when selected, will allow users to tag assets to Controlled Documents in the "Released" status.


To access the setting, navigate to Configuration -> Applications > File Manager > Controlled Documents and scroll to the Other Settings section. Select Allow Tagging in Released Status to allow users to tag assets to Controlled Documents in released status. 


You must be in Edit mode for the tag icon to appear.




Added the ability to carry Asset Tags forward to new document revisions

We have added to ability for asset tags on files in controlled folders to be carried forward to new document revisions. 


To enable this feature, the new configuration setting Copy Tags From Current Set to New Revisions must be enabled.  This setting is found in Configuration > Applications > File Manager > Controlled Documents in the Other Settings section.


When selected, any asset tags that were associated to a previous revision will be copied to the new revision when the file is moved out of "Draft" status. This functions similarly to the Copy Markups to New Revision feature.




Added the ability to update Asset attributes from submittals

Users now have the ability to update Asset attributes directly from the Submittal Item record. Previously, only Asset Type attributes could be updated. This provides a more seamless way for users to update attribute values. Rather than having to switch applications, they are able to update the necessary attributes, while remaining in the Submittal Items application.

 

The Update Asset Type button has been relabeled to Update Asset, which opens the Update Asset window. This button is only visible when an asset or asset type is tagged to the record. Users have the ability to select which asset or asset type that needs to be updated. From there, only blank attribute values are displayed by default. Users do have the ability to select Show All if there are existing attribute values which need to be updated. Once the user clicks Update, the attribute values are updated on the corresponding Asset or Asset Type record.

 

Users are only able to update Assets and/or Types if they have edit rights (Contributor, Moderator, Administrator) to the respective application.  If a user selects Update Asset and does not have access to update any of the tagged Assets or Types, an error message will appear.  Additionally, if a submittal has both an Asset and Type tagged and the user only has edit rights to the Asset application, only the asset will appear for attribute editing.




Asset Manager - Enabled multi-edit support for dynamic attributes in the log view

The Asset Manager app allows for custom defined attributes for asset types and assets. These attributes can now be updated from the log view using multi-edit.


To update multiple asset types or assets at one time, select the assets or asset types in the log view, then select Multi Edit.  




Bid Management


Bid Room - Added Kahua message to bidder on bid submission

Bidders will now receive a Kahua Message after they submit or re-submit their bid proposal. If they have enabled the setting to forward Kahua messages to their email, then they will also receive this message as an email. This message will serve as a confirmation to the bidder that the proposal has been submitted.  It will include the following details:

  • Bid Proposal Number
  • Bid Proposal Description
  • List of attachments that were included in the References section of the Proposal


Added the ability to remove bidders from the Bid Solicitation

A new function has been added that will allow Bid Managers and Domain Admins to remove bidders from the solicitation. Users will only be able to remove bidders who have not already submitted a Bid Proposal.


To use this new function, navigate to the Bid Proposal and click on the Bidders tab. Select the bidder to be removed.  Select Remove Bidder on the grid header.



After clicking Remove Bidder, a confirmation message will appear, alerting you that this action will revoke access to the Bid Room and invalidate any open Bid Proposal that has not been submitted.


Click Continue and the user will be removed from the Solicitation.




Scheduling/rSchedule (Runding)

Note: These features are available for customers in Commercial environments. They are not yet available for customers using the Kahua Government Network.


rSchedule - Schedule Tasks

Both Created Date and Modified Date have been removed from the Details section of Schedule Tasks.


rSchedule - Data Store

Tokens have been enabled in the Data Store. Users can now create custom portable view reports and dashboards. This will work for both the Schedules Suite of apps and Earned Value. 



Kahua Host Updates


All Kahua hosts have been updated with various enhancements and bug fixes. The Windows host will automatically update upon first launch after the release.
